Step-by-Step Application Process

Before You Begin

Ensure you have the following details readily available:

  • Proposed start and end dates of your internship or training program

  • Host company’s street address

  • Host company website

  • Primary contact at the host company (hiring manager or direct supervisor)

  • Contact phone number and email address for your host company representative

Important Information About Fees

Upon submission, a non-refundable application fee will be charged. Payment is accepted by credit card via our secure online form. This fee will be applied toward your total program cost.

Adding Dependents

If you plan to bring dependents who will apply for a J-2 Visa, you will have the option to include their information during the application process.

Once your application has been accepted, you will need to submit all required documents listed below. These materials must be received by Intrax before your DS-2019 form can be issued.

Documents to Submit:

  • Host Company Agreement
    Intrax will send this document directly to your Host Company. It must be completed and returned to Intrax by your host organization.

  • Internship Placement Plan (Internship Applicants Only)
    Collaborate with your Host Company to complete this plan. You will receive a finalized version for signature later in the process.

  • Training Placement Plan (Training Applicants Only)
    Similar to the internship plan, this document must be completed with your Host Company. A final version for signature will be provided at a later stage.

  • TestPodium English Test Results
    Complete the free online English assessment and submit your results to Intrax. We also accept most internationally recognized English test scores, including IELTS, TOEFL, and TOEIC.

  • Educational Documentation (Required for most participants)
    Submit a copy of your university or college diploma, certificate, or proof of enrollment. This is optional for some trainees, depending on eligibility criteria.

  • Current Resume or Curriculum Vitae (CV)
    Ensure your resume/CV is up to date and reflects relevant experience and education.

  • Passport Copy
    Provide a clear copy of the biographical page of your current passport.

After Intrax has received confirmation of your placement from your Host Company and all required documents have been submitted, you will receive an invoice for the remaining balance of your program fees.

Upon submission of your application, Intrax will contact your Host Company via email to verify your internship placement and confirm the company’s contact information.

To avoid delays, please ensure you communicate with your Host Company in advance. Let them know that Intrax (your visa sponsor) will be reaching out to:

  • Schedule a brief validation phone call, and

  • Request confirmation of placement via email.

⚠️ Important: Your Host Company must respond to this email within two weeks. If no response is received, Intrax will be unable to confirm your placement, and your application process cannot proceed.

Intrax will contact you to schedule your mandatory pre-departure orientation. This session provides essential information to help you prepare for your program and stay compliant with U.S. regulations.

The orientation will cover:

  • Living in the United States: Cultural tips and practical advice for day-to-day life

  • J-1 Visa Rules and Regulations: Your rights, responsibilities, and program guidelines

  • Visa Interview Preparation: Guidance on applying for your J-1 Visa and attending your interview at the U.S. Embassy or Consulate in your home country

Participation in this orientation is required prior to receiving your DS-2019 form and moving forward with the visa application process.

Once Intrax has received your full program payment, all required documents, and placement confirmation from your Host Company, your application will be processed and your DS-2019 (Certificate of Eligibility) will be issued.

  • The DS-2019 form is typically processed within two weeks.

  • Once ready, it will be available for download directly from your UncleSamPlacement account.

This form is a critical requirement for scheduling your J-1 Visa interview at the U.S. Embassy or Consulate.

Once you have received your DS-2019 form, you may schedule your J-1 Visa interview at the nearest U.S. Embassy or Consulate in your home country.

During your appointment, the consular officer will review your:

  • DS-2019 form

  • Passport

  • Supporting documentation

The Embassy or Consulate will make the final decision regarding the issuance of your J-1 Visa.

The Embassy or Consulate will make the final decision regarding the issuance of your J-1 Visa.

If your J-1 Visa application is approved, you will receive a visa foil (sticker) in your passport, signifying official authorization to participate in the J-1 Exchange Visitor Program.

  • In some locations, your visa may be issued on the same day as your interview.

  • In other cases, your passport with the visa will be returned to you by mail.

If Your Visa Is Denied

You may have the option to appeal the decision, depending on the local policies of the U.S. Embassy or Consulate. Because visa procedures can vary by country, we recommend visiting the official website of the U.S. Embassy or Consulate in your country for the most accurate and up-to-date information.
